Privacy Policy

Who we are

CleanTrack is an operations platform for commercial cleaning companies. We process information on behalf of the cleaning company you work for or buy services from (the "Operator"). For most questions about your data, the Operator is the primary contact; this policy covers how the platform itself handles information.

What we collect

  • Account data — name, email, phone, role, and login credentials (passwords are hashed; we never store them in plain text).
  • Work records — shifts, clock-in/out times, zone scans, photos taken during work, training results, and pay-rate information entered by the Operator.
  • Location data — GPS coordinates captured at clock-in, zone scans, and safety alerts (SOS, lone-worker check-ins). Location is captured at those moments only; the app does not track movement continuously.
  • Client data — facility addresses, contact names and emails, service records, and invoices.

How we use it

  • Running the service: scheduling, payroll exports, quality reports, client portals.
  • Safety: routing SOS alerts and missed check-ins to supervisors, with location attached.
  • Quality control: photos may be analyzed by AI to grade cleaning quality. AI never makes final personnel decisions — supervisors review flags.
  • Service emails: daily reports, alerts, and account messages. Marketing email is opt-in only.

Who can see your information

Access follows your role. Cleaners see their own records; supervisors and the Operator's administrators see crew records for the people they manage; building clients see service proof for their own facilities (first names only for crew, never pay or personnel files). We never sell personal information.

Processors we rely on

Hosting and database infrastructure, transactional email delivery, object storage for photos, and AI analysis are provided by vetted processors under contract. A current list is available on request.

Retention & deletion

Work records are kept for as long as the Operator's account requires (typically seven years for payroll-adjacent records, per CRA guidance). You may request a copy of your personal information or deletion of your account; deletion requests are honoured within 30 days subject to legal retention obligations.

Your rights

Under PIPEDA (Canada) and PIPA (BC/Alberta) you may access, correct, and — where applicable — withdraw consent for the use of your personal information. Start with your Operator's administrator, or contact us and we will coordinate.
